GMAA Race Refund Policy
All race registration payments are final. No refunds will be issued, even if the runner informs the director beforehand, does not attend the race, or does not complete it.
GMAA Policy for Changing Age Groups Mid-Year
Runners are categorized by age groups for races and series of races. If a runner’s age group changes during a series, such as the Grand Prix Series or Performance Standings, all previously earned points will transfer to the new age group without recalculation. The runner’s age on the date of the last race in the series determines their final age group. For 2007, the Grand Prix Series ends with the Green Mountain Marathon, and the Performance Standings end with the Leaf Peepers Half Marathon.
GMAA No-Show Policy for Paid Races
If a member has a USATF team race paid for by the GMAA (as an incentive winner or because it is their third or more race of the season) and does not participate, they must reimburse the club for the entry fee. If the runner starts but does not finish the race, no repayment is required.
GMAA Membership Awards at Races Policy
To qualify for membership awards, such as Grand Prix points, incentive placements, and the Skirack free sneaker bonus, runners must be members before the race starts. This does not apply to general race awards given to any participant.
GMAA Family Membership Policy
Family members living at the same address can join the GMAA with a family membership. This includes children who are away at college but return home between semesters. It does not include related family members living at different addresses.
GMAA Mailing Labels Policy
The GMAA provides one-time-use mailing labels with members’ addresses to reputable running races and camps in Northwestern Vermont for $25, which includes postage. These addresses must not be copied into any databases for future use. Members can opt-out by emailing info@gmaa.net.
GMAA Race Kit Policy
The GMAA rents its race kit for approved events for a $75 fee plus a $50 refundable deposit. The kit, located at the Skirack in Burlington, VT, includes hand-held timers, a finish line clock, and traffic cones. Non-club races can also receive technical assistance. Events that mishandle equipment or are difficult to work with may be barred from future rentals. GMAA races have first priority for kit rental. A race keeping the same date from year to year has second priority. All other dates are first come, first served. Requests to rent the race kit must be emailed to racekit@gmaa.net. Rentals are restricted to races in Chittenden County and those hosted by Central Vermont Runners. The kit is unavailable between the Turkey Trot and the Sap Run (approximately 12/1 to 4/1). As of 8/13/2008, new races cannot rent the kit, but races in good standing that have previously rented the kit may continue to do so.
GMAA Weather Policy
All GMAA races proceed in any weather except lightning/thunder. If lightning or thunder occurs before a race starts, the race will be delayed for 30 minutes after the last occurrence. Runners should decide for themselves whether they can handle the race conditions.
GMAA Sponsorship Policy
The GMAA seeks sponsorship from locally owned Vermont businesses for races and club activities. National chain stores will only be approached if no local sponsors are interested. Sponsorships are accepted as in-kind gifts, discounts, or gift certificates.
GMAA Race Calendar Policy
The GMAA website calendar lists only GMAA races, USATF Grand Prix series races, and GMAA team races.
GMAA Race Age Group Restrictions
Due to safety concerns, including open roads during races, the following age restrictions apply:
- Half marathons or longer: Runners must be 16 or older.
- 5K races: No age requirement.
- Other races and group workouts: Runners under 12 must be accompanied by a parent or guardian for the entire event.
GMAA Email Policy
The GMAA values members’ and racers’ privacy and does not sell, rent, swap, or give away email addresses.
